How we collect, use and protect your personal data.
This Privacy Policy explains how Soft4u Solutions Private Limited collects, uses, stores, shares and protects personal data when you visit soft4usolutions.com, contact us or use our services. It is published in accordance with the Information Technology Act, 2000 ("IT Act"), the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("SPDI Rules"), and the Digital Personal Data Protection Act, 2023 ("DPDP Act") together with the rules notified under it, to the extent in force.

For the purposes of the DPDP Act, SSPL is the Data Fiduciary for personal data collected through this website.
2. Personal data we collect
- Data you give us: name, mobile number, email address, business name, the service you are interested in, budget range and any message you send through our forms, WhatsApp, email or phone.
- Data collected automatically: pages visited, referring website, campaign tags (UTM), device type, browser, operating system and approximate language. We do not store your full IP address; we store a one-way hash that changes every day so visits can be counted without identifying you.
- Cookies: an essential cookie remembers your cookie choice. If you accept analytics cookies, a first-party visitor ID cookie helps us count returning visitors. See our Cookie Policy.
- Client project data: when you hire us, we may process data you share for the project (for example, content, customer lists or login credentials for your hosting). We process such data only on your documented instructions.
We do not intentionally collect sensitive personal data or information such as passwords of personal accounts, financial account details, health records, biometric data or sexual orientation through this website. Please do not send such information through our forms.

We will not use your data for any purpose that is not compatible with the purpose for which you gave it, without asking you again.
4. Consent and your choices
When you submit a form, you give free, specific, informed and unambiguous consent for us to contact you about your enquiry. You may withdraw consent at any time by emailing info@soft4u.in or replying "STOP" on WhatsApp. Withdrawal does not affect processing already done, and we may still keep records we are legally required to retain.
5. Sharing of personal data
We do not sell or rent your personal data. We share it only with:
- Service providers who help us operate: web hosting, email, cloud storage, WhatsApp Business messaging, payment gateways and accounting software, under confidentiality obligations;
- Our partner chartered accountants or company secretaries, only if you request registration or compliance services;
- Government authorities, courts or law-enforcement agencies when required by law, including under Section 69 of the IT Act or other applicable law.
Some service providers may store data on servers outside India. Any such transfer is made only to countries not restricted by the Government of India under the DPDP Act and with reasonable safeguards.
6. How long we keep data
- Enquiries that do not become projects: up to 24 months from the last contact, then deleted or anonymised.
- Client and invoice records: for the period required under the Companies Act, 2013 and the GST law (generally 8 years).
- Anonymised visit statistics: up to 25 months.
7. Security
We follow reasonable security practices in line with Rule 8 of the SPDI Rules, including HTTPS encryption, hashed passwords, role-based access for staff, login-attempt limits, regular backups and restricted server access. No system is completely secure, but we work to protect your data and will act promptly on any incident.
In the event of a personal data breach, we will notify affected individuals and the Data Protection Board of India as required under the DPDP Act and its rules, and report cyber security incidents to CERT-In where required by the CERT-In Directions of 28 April 2022.
8. Your rights
Subject to applicable law, you have the right to:
- obtain a summary of the personal data we hold about you and how it is processed;
- request correction, completion or updating of inaccurate data;
- request erasure of data that is no longer needed;
- withdraw consent;
- nominate another person to exercise your rights in case of death or incapacity;
- have your grievance redressed by our Grievance Officer, and then approach the Data Protection Board of India if unresolved.

9. Children
Our services are meant for businesses and adults. We do not knowingly collect personal data of anyone below 18 years of age. If you believe a child has submitted data, contact us and we will delete it. Where our software products process children's data on behalf of schools (for example, Vidyarise), the school is responsible for obtaining verifiable parental consent, and we act as its Data Processor.
10. Third-party links
Our website links to other websites, including our ventures and social media pages. Their privacy practices are governed by their own policies.
